Staff Factors

Understand what are staff factors, how you can create and add them to your contracts.

A staff factor is defined by the hours per week and weeks per year to equal a full-time equivalent (FTE) of 1.

How to access the Staff Factors

Your Staff Factors will be at the scenario level.

Once you have created a scenario you will be able to access each section of it:

  1. Click the Scenario you have created.

  2. On the left hand side of your menu, click Data settings.

  3. Click Staff Factors.


Add new Staff Factor

By default any scenario will have two staff factors:

  • Support FTE.

  • Teachers FTE.

However you can add new ones that you can customise to your needs:

  1. Click the plus button on the left hand-side of the page.

  2. Fill in the fields:

    • FTE Type: Name of the Full-Time Equivalent.

    • Description of the FTE: usually same name as FTE type.

    • Hours per week: What the full-time hours are for a full week.

    • Weeks per year: The number of weeks for a full year.

  3. Click Save to confirm the new FTE.

Edit Staff Factors

  1. Under the Actions column, select Edit from the drop-down.

  2. Change the description, hours per week and weeks per year.

  3. Click Save.

⚠️Important:

  • You will not be able to edit or delete a Staff Factor as long as it is attached to an existing staff contract.

  • FTE is attached to a staff contract if it will have a padlock icon next to it.


Attach Staff Factor to a contract

To add a FTE to an existing staff record:

  1. Click the Scenario menu.

  2. Click Budget Planning, then click Staffing.

  3. Click the person icon next to your staff member's name.

  4. On the contract, scroll down to Scale Details.

  5. In this section, select the new FTE in the drop-down option from the FTE code menu.

  6. Click Save.
