Open a new budget year

Learn how to open and publish a new budget year so schools can use the latest budget data.

โš ๏ธ Important:

  • When you publish a budget year, your schools can upgrade their budget scenarios based on the data in that budget year.

  • You lose visibility of your earliest budget year after publishing a new one, so export any data you still need before you publish.

  • Make sure you update data such as your pay scales and complete any required amendments or deletions before the new budget year opens, as you will not be able to delete items once it is open.


Open a new budget year

  1. In Access Evo, click the Access button, then click Central Budgets.

  2. Under Publishing, click Open Budget Year.

  3. Click Open New Budget Year, then click Confirm.

    ๐Ÿ“ŒNote: After you confirm, your new budget year is created in draft and the following message appears:
    โ€‹Your draft budget year is ready to view and amend. Please check the below guide on how you can publish a new budget.

  4. When you are happy with the draft data click Publish Budget Year.

๐Ÿ“ŒNote:

  • While the budget year is in draft, you can review and amend your data,such as the pay scales.

  • If you need to close this screen to make changes before publishing, your new budget year remains in draft. When you are ready to publish, repeat steps 1 and 2 to return to the Open Budget Year screen, then follow step 4 to publish the draft budget year.

  • The new budget year is published overnight. You can continue to make amendments and delete items in the draft until the new budget year opens. Once the new budget year is open, you can no longer delete items.
