Add New or Existing Users

Learn how master users can add new and existing users to Access Education Budgets and set the correct access level.

⚠️Important: If you are not using Access Evo yet, only the master user of an establishment can add new or existing users to Access Education Budgets. To get set up using Access Evo with your Access Education Budgets software, please raise a new case online and reference the title of this article.

Before You Start

  • You must be the master user for the establishment to see and use User Accounts.

  • If you cannot see User Accounts, you are not the master user and will need to:

    • Contact the master user directly, or

    • Raise a new case online and reference the title of this article to confirm who the master user is.


Access User Accounts

You can open Access Education Budgets in either of the following ways:

  1. From the Home Page

    1. Log in to Access and go to the Home Page (the screen with your apps and Access Education products).

    2. Open Access Education Budgets for the relevant establishment.

  2. Through Access Evo

    1. In the top-left, click the nine-dot grid.

    2. Select the Budgets product.

    3. If required, click Launch on the relevant establishment.

Then:

  1. In the top-right of Budgets, click the person icon.

  2. Click User Accounts.

📌Note: If User Accounts is not visible, you are not the master user for this account.


Add a New User

  1. From User Accounts, click the blue plus icon.

  2. Enter the new user’s first name, surname, and email address.

  3. Click the Products icon.

  4. The available Access Education products appear on the right.

  5. Click Select, then click Edit.

  6. From the Access Type drop-down, choose the appropriate level of access for Access Education Budgets:

    • Full – Full access to Budgets. Can amend all aspects of a scenario.

    • Master – Same as Full, plus can add, amend, and delete users and grant access rights.

    • Read Only – Can view scenarios but cannot amend them.

    • Read Non Sensitive – As Read Only, but cannot view staffing salary data.

    • Reports – Can only access the Reporting Module of the scenario.

    • Reports Non-Sensitive – As Reports, but cannot view Staffing Reports.

    • Action Planner – Can access the Action Planner only.

  7. Click Confirm, then click Save in the product access panel.

  8. Back on the main User Accounts screen, click Save again to finish adding the user.


Add an Existing User

If the person already has an Access Education login, you can add them as an existing user:

  1. In User Accounts, click the dropdown arrow to reveal the Add Existing User tab.

  2. Enter the user’s full email address.

  3. Click Find Existing User.

  4. Once the user is found, repeat steps 3–8 from Add a New User to set their product access and access type.

The existing user will now have access to Access Education Budgets with the permissions you selected.
