Access Education Budgets - August 2025 release notes

Review the key product enhancements released in August 2025, including mandatory account coding, new reporting options, updates to staff load details, and changes to pupil numbers columns.

  • Access Education Budgets: New Account Coding Mandatory setting.

Access Education Budgets – Account Coding Mandatory

We have introduced a new setting which makes it possible to make Account Coding mandatory, ensuring no account codes are missed within the budget for reporting and exporting the budget to Access Education Finance or a Finance third party.

To make account coding mandatory, navigate to School/Academy, Other Settings, expand School Settings and select 'Account Coding Mandatory'.

The 'Ref' codes that are in use will be listed to select which of these are required to be mandatory before saving.

When adding or editing a Job Type, the mandatory fields are indicated with a * and an error will occur to advise these fields are required before being able to Save.


In a Scenario and GAG Income\Section 251, when editing the coding on a budget line or editing the coding in bulk for the IE Section the mandatory fields are indicated with a * and an error will occur to advise these fields are required before being able to Save

.

When adding or editing a budget line and linked budget line in Non-GAG income\Section 251, Other Expenditure and Capital, the mandatory fields are indicated and an error will occur to advise these fields are required before able to Save.

When loading a Staff Contract, a message is displayed if mandatory account codes are required and no changes can be made to the staff contract until mandatory codes are completed which are indicated with a * on Account Coding tab.



Access Education Central Budgets – Grouped Budget Report

Under Financial Reports in Central Budgets, a new Grouped Budget report displays key information about published budgets in selected schools, avoiding the need to run multiple reports to get the information required.


Access Education ICFP – Deployed Showing Contact and Non-Contact

On Staff Load, the Deployed column now shows the split between Contact and Non-Contact Codes, providing visibility of the different ways in which staff members spend their time.


Access Education ICFP – Display Pupil Numbers

On Resource Requirements, the Pupil Numbers in the linked Scenario are now easily visible by clicking View Pupil Numbers. This saves time having to switch back to Access Education Budgets to look up this information in the Scenario.


Access Education Budgets – Pupil Numbers

Within Scenario and Pupil Numbers, the Edit Pupil Numbers column heading has been changed from 'Oct Year' to 'Budget Year'.

Whilst the pupil numbers are still sourced from the October census of the previous year, the column heading now displays 'Budget Year' to maintain consistency across the software. This reflects the budget year within which these pupil numbers are being calculated and applied.
