Enable Budget Monitoring Snapshots

Learn how to enable Budget Monitoring Snapshots and choose whether to import actuals from Finance or Excel.

Budget Monitoring Snapshots let you compare your budget with your actuals and track projected outturn over time. Before you can create snapshots, you need to enable Budget Monitoring and choose how your actuals data will be imported.


Enable Budget Monitoring

  1. In Access Education Budgets, click the Academy/School menu.

  2. Click Other Settings.

  3. On the Other Settings page, expand the Budget Monitoring Settings section.

  4. Select Enable Budget Monitoring.

You now have two options for importing actuals data:

  • Import Actuals from Finance – if you have a link to Access Education Finance.

  • Import Actuals from Excel – if you do not have a Finance link.


Option 1 – Import Actuals from Finance

  1. In Budget Monitoring Settings, select Import Actuals from Finance.

  2. Click Save.

Once saved, the system automatically redirects you to the Actuals page, where you can import your Actuals data from Finance. Importing actuals from Finance is a simple, one-click process, and you can import the latest data at any time.

Option 2 – Import Actuals from Excel

  1. In Budget Monitoring Settings, select Import Actuals from Excel.

  2. Click Save.

Once saved, the system automatically redirects you to the Actuals page. When using this option, updating actuals data is done by uploading an Excel file.
