Configure Excel Column Mappings for Budget Monitoring Actuals

Learn how to configure Excel column mappings so you can import actuals into Budget Monitoring Snapshots from an Excel file.

If you use Import Actuals from Excel for Budget Monitoring, you must define how your Excel file is read by setting up column mappings and other import settings.


Open Excel Import Settings

  1. In Access Education Budgets, click the Academy/School menu.

  2. Click Other Settings.

  3. Expand the Budget Monitoring Settings section.

  4. Ensure Import Actuals from Excel is selected.

The Column Mappings fields are displayed.


Map Excel Columns

Enter the column letters that correspond to each type of data in your import file.

Mandatory items:

  • At least one Actual column.

  • Start Row.

  • At least one column mapped to account coding references (for example Cost Centre, Ledger Code, Fund Code, depending on your setup).

You can:

  • Map each account coding reference (for example, Cost Centre, Ledger, Fund) to one column each.

  • Map Actual and Commitment to one or more columns.

Map Actual and Commitment columns

  1. In the Actual or Commitment mapping fields, enter a column letter.

  2. Click Add.

  3. Repeat for each column that contains Actual or Commitment data in your import file.


Set Row and Tab Options

  • Start Row (mandatory)

    • Enter the row number where your actuals begin in the Excel file (first row that contains usable data).

  • End Row

    • Enter the row number where your actuals end. Rows after this are ignored.

  • Tab Name

    • If your file has multiple worksheets, enter the tab name that contains your actuals data.

    • If left blank, the first tab in the file is used.

  • Ignore Row Text

    • Enter words or phrases that identify rows you want to ignore (for example, Total or Summary).

    • Any row containing any of these text values will be ignored during import.


Test and Save the Excel Import Format

  1. In Upload File, browse to and select your actuals Excel file.

  2. Click Test Import.

A preview of your Actuals is displayed, showing how the system has read the first rows of your file.

  • If the data looks correct, click Save.

  • If the data is wrong, click Cancel, adjust the column mappings, and run Test Import again.

Once saved, you do not need to reconfigure these settings if you always use the same file format.

After saving, the system automatically redirects to the Actuals page where you can import your actuals.
