This article explains what to do when the relevant Cost Centres and Ledger Codes exist in Access Education Finance, but do not appear in the account code fields for certain Section Codes in Access Education Budgets.
This usually happens because the codes are not fully mapped in Finance, or because the latest coding has not been re-imported into Budgets.
Check Code Mapping in Access Education Finance
If codes are missing from Section Codes in Budgets, first check whether they are fully mapped in Access Education Finance.
You can review this using the Code Mapping Summary.
In Access Education Finance, click Codes.
Click Chart of Accounts.
Click Code Mapping.
On the right-hand side, click View Summary.
Click Export to Excel.
Review the exported summary and check whether the relevant Cost Centre and Ledger Code combinations are mapped correctly.
Map Missing Codes in Finance
If the relevant codes are not mapped, add the missing mapping in Access Education Finance.
In Code Mapping, click the Map tab.
Select the Cost Centre from the box on the right.
Select the Ledger Code from the box on the left.
Click the blue Map button.
Repeat this for any missing combinations.
Once the codes are fully mapped in Finance, they can then be brought through into Budgets.
Import the Updated Account Codes into Budgets
After correcting the mapping in Finance, carry out a fresh import of account coding into Access Education Budgets.
Open the Access Education Budgets app.
On the left, click the Academy/School tab.
Click Setup Coding.
In the top-right corner, click Import Account Codes.
Click Update.
This refreshes the chart of accounts in Budgets using the latest mapping from Finance.
